Who we are and how to contact us
WEREP LLC (“We-Rep,” “we,” “us,” or “our”) operates this website and the related candidate, customer, employee, and Academy workspaces. For a question about this notice or a request about your information, use the We-Rep contact form. Do not put passwords, Social Security numbers, bank details, identity documents, medical information, or other sensitive information in that form or in a general email. Use a designated secure workspace only when We-Rep has instructed you to submit a particular document there.
Information we receive
What we receive depends on how you use the site and workspaces. It can include:
- Contact inquiries: your first and last name, work email, organization, the service or topic you select, and the message you send. We also keep a reference, status, assignment, follow-up notes, and timestamps so authorized staff can manage the inquiry.
- Job applications and recruiting: account and contact details, profile and experience information, your application and answers, resume files, job and application history, communications, interview details, offer versions, and notes or evaluations entered by authorized reviewers.
- Employment and customer workspaces: account identity, assigned role and organization, invitations, work assignments, time entries and approval history, project and billing contacts, invoice records, and related communications or audit events.
- Academy: account and enrollment details, cohort requests, attendance, submissions, feedback, grades, and certificate records where those features are used.
- Restricted documents: if We-Rep asks you to provide them through a designated upload flow, documents may contain identity, tax, or payment information. Do not send such information through a general inquiry or upload it unless the specific workflow requests it.
- Technical and security records: information needed to operate and protect accounts and services, such as session and authentication records, access and change history, file-scan status, and service diagnostics.
Please provide information that is relevant to the request or workflow. Do not submit another person’s information unless you are authorized to do so.
How we use information
We use information to respond to inquiries; administer accounts and role-based access; receive and review applications; communicate about recruiting, work, and training; manage approved assignments, time, invoices, and Academy participation; maintain records of decisions and changes; protect the service and investigate misuse; respond to privacy requests; and meet applicable contractual or legal obligations. We do not use automated scores as the final hiring decision. Authorized people review applications and make hiring decisions.
Who can access information
Access is limited by workspace role and organization scope. Authorized We-Rep staff and, where a workflow requires it, customer managers, instructors, or other assigned users may see information needed for their work. Recruiter notes and restricted identity or payment documents are not intended for general public access. Supported uploads use private file storage, with scanning where enabled. No online service can promise that every transmission, device, or system is risk-free. Use the designated workflow and tell us promptly if you believe an account or document has been exposed.
Service providers
We use Cloudflare to host and operate the application and its database and file-storage services, and Microsoft services for staff sign-in and, when configured, business email or calendar functions. Those providers may process information needed to provide, secure, or support the relevant service. We may also use a provider specifically selected for a workflow, such as payroll or payment processing, only when that workflow is offered and configured.
How long we keep information
We keep information while it is needed for the purpose it was collected, for approved business operations, and for applicable contract, legal, dispute, audit, security, or hold requirements. We-Rep has not yet approved retention periods by record type. We will publish a record-specific schedule after the owner and counsel review the applicable requirements and the company’s operational choices. Until then, this notice does not promise a particular deletion date or automatic deletion. A request, account closure, or withdrawal does not by itself remove records that must or may be retained.
Your requests
You may contact us through the contact form to ask about access, correction, withdrawal, or deletion. If you have a workspace account, you may also submit a privacy request from the authenticated account area. We will review the request, verify the account or identity as appropriate, explain any information we need, and respond through the available workflow.
Submitting a request records it for staff review; it does not itself change a profile, withdraw an application, revoke permissions with another provider, export every record, or erase data. Some actions require separate verification and manual work. We may retain information where an applicable obligation, dispute, investigation, or hold requires it. We will explain the status and any limits we identify rather than represent a request as completed when the underlying action has not been verified.
Security and changes to this notice
We use role-scoped access, private file handling, and operational safeguards appropriate to the workflows offered. No safeguard eliminates all risk. We may update this notice when our practices change; the posted version should show its effective date. For a security concern, use the contact form and do not include a password or sensitive document in the message.
